Position Summary:

We are seeking a highly organized and efficient Admin Secretary to join our team. The Admin Secretary will play a critical role in supporting the administrative functions of the company, ensuring smooth and efficient office operations. Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the management team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Document Management: Prepare, format, and distribute documents, reports, and correspondence. Maintain organized electronic and physical filing systems to ensure easy retrieval of information.
  • Office Coordination: Oversee office operations, including ordering supplies, managing office equipment, and coordinating maintenance and repair services.
  • Communication: Serve as the primary point of contact for internal and external communications, including answering phone calls, responding to emails, and handling inquiries in a professional and courteous manner.
  • Meeting Coordination: Arrange and coordinate meetings, conferences, and events, including booking venues, preparing agendas, and ensuring all necessary materials are available.
  • Data Entry: Accurately enter and update information in databases and spreadsheets, ensuring data integrity and confidentiality.
  • Expense Management: Assist with the preparation and processing of expense reports, invoices, and purchase orders, ensuring timely and accurate submission.
  • Project Assistance: Provide support on various projects and initiatives as needed, including conducting research, preparing presentations, and assisting with project management tasks.
  • Education: Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
  • Experience: Minimum of 2-3 years of experience in an administrative or secretarial role, preferably within a corporate environment.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment and software.
  • Organizational Skills: Excellent organizational and time management skills, with the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with colleagues, clients, and stakeholders at all levels.
  • Attention to Detail: High level of attention to detail and accuracy in document preparation, data entry, and administrative tasks.
  • Problem-Solving: Proactive approach to problem-solving, with the ability to anticipate needs, identify issues, and implement effective solutions.
