Position Overview:
GS SOFTWARE L.L.C is seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team. The ideal candidate will be responsible for providing comprehensive administrative support to ensure the efficient operation of the office. Key Responsibilities:
- Provide administrative support to management and other staff members, including scheduling meetings, managing calendars, and organizing travel arrangements.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
- Maintain and update company records, databases, and filing systems with a high degree of accuracy and confidentiality.
- Prepare reports, presentations, and documents as required by management.
- Coordinate and assist in organizing company events, meetings, and conferences.
- Manage office supplies inventory and place orders as needed to ensure a well-stocked and organized workspace.
- Assist in HR-related activities such as onboarding new employees, maintaining employee records, and coordinating training sessions.
- Liaise with external vendors, clients, and stakeholders to ensure smooth communication and effective collaboration.
- Monitor and manage office budgets, expenses, and petty cash.
- Perform other administrative duties as assigned to support the overall operation of the company.
Qualifications and Skills:
- Bachelor’s degree in Business Administration or a related field preferred.
- Proven experience as an administrative assistant or in a similar role.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
- Ability to work independently with minimal supervision and as part of a team.
- High level of professionalism and discretion in handling confidential information.
- Strong problem-solving skills and attention to detail.
- Flexibility to adapt to changing priorities and deadlines.
