Key Responsibilities

  • Office Management: Manage day-to-day office operations, including maintaining office supplies, coordinating maintenance requests, and ensuring a clean and organized work environment.
  • Administrative Support: Assist with scheduling meetings, preparing agendas, taking minutes, and following up on action items.
  • Communication: Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Documentation: Maintain accurate records and filing systems, ensuring documents are easily accessible and securely stored.
  • Data Entry: Perform data entry tasks, ensuring data is entered accurately and in a timely manner.
  • Travel Arrangements: Coordinate travel arrangements for staff, including booking flights, accommodations, and transportation.
  • Event Coordination: Assist in organizing company events, meetings, and conferences, ensuring all logistical aspects are covered.
  • Support Services: Provide support to various departments as needed, including HR, finance, and operations.


  • Education: High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
  • Experience: Minimum of 2-3 years of experience in an administrative role, preferably in a corporate or maritime environment.
  • Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook), excellent written and verbal communication skills, and strong organizational abilities.
  • Attributes: Detail-oriented, proactive, able to handle multiple tasks simultaneously, and a team player with a positive attitude.
  • Language: Fluency in English is required; knowledge of Arabic is an advantage.
