Job Description:

As an Administrative Assistant at Main Agency CALES & Associés, you will be responsible for providing comprehensive administrative support to the firm’s legal team and clients. Your role will involve managing day-to-day office tasks, facilitating communication, and ensuring the smooth operation of our office in Luxembourg.

Key responsibilities include:
  • Answering incoming phone calls, directing them to the appropriate personnel, and taking accurate messages
  • Managing calendars, scheduling meetings, and coordinating appointments for attorneys and other staff members
  • Preparing and editing legal documents, correspondence, reports, and presentations
  • Organizing and maintaining physical and electronic files, ensuring documents are accurately filed and easily accessible
  • Assisting with client intake processes, including collecting necessary information and maintaining confidentiality
  • Coordinating travel arrangements, including booking flights, hotels, and transportation for business trips
  • Supporting the billing and invoicing process by preparing invoices and tracking payments
  • Assisting with office supply management and equipment maintenance to ensure the office runs smoothly
  • Greeting clients and visitors, creating a welcoming atmosphere, and ensuring their needs are met
  • Providing administrative support for special projects and initiatives as required by the firm’s management team
  • Previous experience as an administrative assistant or in a similar role preferred
  • Strong organizational skills with an ability to manage multiple tasks and priorities simultaneously
  • Excellent communication skills, both verbal and written, with attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and collaboratively within a team environment
  • Discretion and professionalism when handling confidential information
  • Flexibility to adapt to changing demands and work under pressure
  • Fluency in English; knowledge of French, German, or Luxembourgish is an asset
