Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the executive team, including calendar management, scheduling meetings, and coordinating travel arrangements.
- Communication Management: Act as the primary point of contact between the executives and internal/external stakeholders. Manage correspondence, screen phone calls, and draft emails on behalf of the executive team.
- Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and reports. Take detailed minutes during meetings and follow up on action items.
- Project Management: Assist in the planning and execution of special projects and initiatives, ensuring that deadlines are met and objectives are achieved.
- Document Management: Maintain and organize confidential files, records, and documents. Prepare and edit documents, reports, and presentations as needed.
- Travel Arrangements: Coordinate domestic and international travel arrangements, including flight bookings, hotel reservations, and transportation logistics.
- Event Planning: Plan and execute company events, conferences, and executive off-site meetings, ensuring all details are meticulously managed.
- Research and Analysis: Conduct research and provide analytical support on various topics, preparing briefings and summaries for the executive team.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain a high level of confidentiality in all interactions.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Minimum of 5 years of experience as an Executive Assistant or in a similar role.
- Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team in a fast-paced environment.
- High level of professionalism and integrity.
- Experience in the financial or investment industry is a plus.
