Position Overview:

We are seeking an efficient and organized School Secretary to join our team at the SABIS® Network school in the United Arab Emirates. The School Secretary will be responsible for managing administrative tasks, supporting the school’s staff and students, and ensuring smooth daily operations. The ideal candidate will possess excellent communication skills, a keen attention to detail, and a strong ability to multitask in a dynamic educational environment.

Key Responsibilities:
  • Administrative Support: Provide comprehensive administrative support to the school principal, teachers, and administrative staff, including managing schedules, organizing meetings, and handling correspondence.
  • Front Desk Management: Serve as the first point of contact for students, parents, and visitors, ensuring a welcoming and professional front desk environment. Answer phone calls, respond to inquiries, and direct visitors appropriately.
  • Record Keeping: Maintain accurate and organized records of student attendance, grades, and other important school documentation. Ensure that student files are up-to-date and securely stored.
  • Communication: Facilitate effective communication between the school and parents, including distributing newsletters, sending email updates, and managing school notices.
  • Event Coordination: Assist in planning and coordinating school events, such as parent-teacher conferences, school assemblies, and extracurricular activities. Manage event logistics, including scheduling, invitations, and set-up.
  • Office Management: Oversee the day-to-day operations of the school office, including ordering supplies, managing office equipment, and ensuring a clean and orderly work environment.
  • Support Services: Provide support for teachers and staff with administrative tasks, such as photocopying, filing, and data entry. Assist with classroom preparation and resource management.
  • Financial Duties: Handle basic financial tasks, such as processing invoices, managing petty cash, and maintaining accurate records of financial transactions.
  • Student Assistance: Assist students with various needs, including scheduling appointments, providing information, and addressing any concerns or issues they may have.
  • Compliance: Ensure compliance with school policies, procedures, and regulations. Maintain confidentiality of student and staff information at all times.


  • High school diploma or equivalent required; additional education or training in office administration or a related field is preferred.
  • Previous experience in an administrative or secretarial role, preferably in an educational setting.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities efficiently.
  • Strong communication and interpersonal skills, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Attention to detail and accuracy in all aspects of work, particularly in record keeping and data management.
  • Ability to work independently and as part of a team, with a positive attitude and a willingness to support others.
  • Fluency in English; knowledge of additional languages, such as Arabic, is an advantage.
  • UAE residency or valid work permit required.
