Position Overview:

We are seeking a highly organized and efficient Secretary to join our team at Deco Wood Decoration LLC. The ideal candidate will have excellent communication skills and a proactive approach to administrative tasks. As a Secretary, you will play a crucial role in supporting our operations, ensuring smooth and efficient office management, and providing exceptional service to our clients and team members.

Key Responsibilities:
  • Manage the day-to-day administrative functions of the office, including answering phone calls, responding to emails, and handling correspondence.
  • Schedule and coordinate appointments, meetings, and events for the management team.
  • Prepare and maintain documents, reports, and records, ensuring accuracy and confidentiality.
  • Assist with project documentation, including contracts, invoices, and work orders.
  • Maintain organized filing systems, both electronic and physical, for easy retrieval of information.
  • Greet and assist visitors, ensuring a professional and welcoming environment.
  • Coordinate travel arrangements and accommodations for staff as needed.
  • Order and manage office supplies and inventory, ensuring a well-stocked and efficient workspace.
  • Provide administrative support to various departments, including HR, finance, and project management.
  • Assist with special projects and other duties as assigned by management.
Qualifications:
  • Proven experience as a Secretary, Administrative Assistant, or similar role.
  • Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong interpersonal skills and a customer service-oriented attitude.
  • High level of accuracy and attention to detail.
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent; additional qualifications in office administration or related field are preferred.
