Job Description:

As a Legal Secretary at Tapella & Nilles, you will play a crucial role in supporting our legal team by performing various administrative and secretarial tasks. This position requires a high level of organization, attention to detail, and discretion, as you will be dealing with sensitive legal documents and information.

  • Education: High School or Diploma Degree
  • Experience: 1-2 Basic Requirements
Key responsibilities include:
  • Managing the daily calendar of attorneys, including scheduling meetings, hearings, and court appearances
  • Handling incoming and outgoing correspondence, including emails, letters, and phone calls
  • Preparing and formatting legal documents, contracts, briefs, and other legal materials
  • Organizing and maintaining electronic and physical case files, ensuring accurate and accessible records
  • Assisting attorneys with case preparation, including conducting research and gathering information
  • Coordinating travel arrangements for attorneys, including booking flights, accommodations, and transportation
  • Liaising with clients, court personnel, and other legal professionals as needed
  • Assisting with billing and invoicing processes, ensuring accurate record-keeping
  • Ensuring compliance with firm policies and legal regulations regarding confidentiality and data protection
  • Providing general administrative support to the legal team, including photocopying, scanning, and faxing documents
  • High school diploma or equivalent; additional certification in legal studies or office administration is a plus
  • Previous experience as a legal secretary or in a similar administrative role within a law firm
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Discretion and confidentiality when handling sensitive legal information
  • Ability to work independently and manage multiple priorities
  • Fluency in English; knowledge of French, German, or Luxembourgish is beneficial
