Key Responsibilities:
  • Greet and assist patients in a professional and courteous manner.
  • Schedule and manage patient appointments, ensuring optimal use of the clinic’s time.
  • Maintain and update patient records, ensuring accuracy and confidentiality.
  • Handle incoming calls and emails, providing information and directing inquiries as appropriate.
  • Process patient billing and insurance claims, including verification and follow-up.
  • Prepare and organize medical documents, reports, and correspondence.
  • Coordinate with medical staff to ensure smooth patient flow and efficient operation of the practice.
  • Assist with the administrative aspects of patient care, including obtaining prior authorizations and managing referrals.
  • Ensure the reception area is clean, organized, and welcoming.
  • Adhere to all health and safety regulations and maintain a secure working environment.
  • Proven experience as a Medical Secretary or in a similar administrative role within a healthcare setting.
  • Excellent communication and interpersonal skills.
  • Strong organizational abilities and attention to detail.
  • Proficiency in medical office software and electronic health records (EHR) systems.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Fluency in English; proficiency in French and/or German is highly desirable.
  • Basic understanding of medical terminology.
  • Ability to work effectively in a fast-paced environment and manage multiple tasks simultaneously.
Preferred Qualifications:
  • Certification in Medical Administration or related field.
  • Experience with patient billing and insurance processing.
  • Familiarity with scheduling and practice management software.
