Position Overview:

We are seeking a highly organized and efficient Secretary to join our team. The Secretary will play a crucial role in providing administrative support to the management team and ensuring the smooth operation of office activities. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously in a fast-paced environment.

Key Responsibilities:

  • Administrative Support: Provide administrative support to the General Manager and other members of the management team. Manage calendars, schedule meetings, and arrange travel itineraries as needed.
  • Correspondence: Draft and proofread correspondence, memos, and reports. Handle incoming and outgoing mail and emails, responding to inquiries or forwarding to the appropriate person.
  • Document Management: Maintain and organize physical and electronic files, ensuring that documents are accurately labeled and easily accessible. Assist with document retrieval and archival as needed.
  • Meeting Coordination: Coordinate and set up meetings, including preparing agendas, taking minutes, and distributing meeting materials. Follow up on action items and deadlines as required.
  • Communication: Serve as the primary point of contact for internal and external stakeholders, answering phone calls, and directing inquiries to the appropriate person or department.
  • Office Supplies: Monitor and replenish office supplies and equipment as needed. Coordinate with vendors and suppliers to ensure timely delivery of supplies.
  • Event Planning: Assist in planning and organizing company events, including conferences, seminars, and social gatherings. Coordinate logistics, RSVPs, and catering arrangements.
  • Data Entry: Perform data entry tasks, including updating databases, inputting financial information, and maintaining accurate records.
  • Confidentiality: Maintain confidentiality of sensitive information and adhere to company policies and procedures regarding data protection and privacy.
  • General Assistance: Provide general assistance and support to other departments as needed. Assist with special projects and initiatives as assigned by management.
  • Education: High school diploma or equivalent. Additional certification or training in office administration is a plus.
  • Experience: Minimum of 2-3 years of experience in a secretarial or administrative role, preferably in the construction or contracting industry.
  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Strong organizational and time-management skills. Excellent communication and interpersonal skills.
  • Personal Attributes: Discreet and trustworthy with confidential information. Detail-oriented and able to prioritize tasks effectively. Positive attitude and willingness to learn.
