Position Overview:

We are currently seeking a skilled and dedicated Secretary to join our dynamic team at Decor Interior Design. The Secretary will play a key role in supporting the administrative functions of our busy design studio, providing essential assistance to our team of designers and ensuring the smooth operation of day-to-day activities. The ideal candidate will be highly organized, detail-oriented, and proficient in administrative tasks, with a passion for interior design and a desire to contribute to the success of our projects.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the design team, including managing schedules, organizing meetings, and handling correspondence and phone calls.
  • Client Communication: Act as a primary point of contact for clients, vendors, and other external stakeholders, responding to inquiries, scheduling appointments, and maintaining client records with accuracy and confidentiality.
  • Document Management: Assist in the creation, editing, and distribution of design proposals, contracts, and other project-related documents, ensuring all paperwork is completed accurately and on time.
  • Project Coordination: Support project managers and designers in coordinating project timelines, budgets, and deliverables, tracking progress, and ensuring deadlines are met.
  • Office Management: Oversee the day-to-day operations of the office, including managing office supplies, equipment, and inventory, and coordinating maintenance and repairs as needed.
  • Travel Arrangements: Arrange travel itineraries and accommodations for staff, including flights, hotel bookings, and transportation arrangements, and ensure all travel-related expenses are documented and processed in a timely manner.
  • Event Coordination: Assist in planning and coordinating company events, meetings, and presentations, including venue selection, catering arrangements, and logistical support.
  • Financial Support: Assist in basic financial tasks such as processing invoices, expense reports, and purchase orders, and maintaining accurate records of expenses and transactions.
  • Database Management: Maintain and update client databases, project files, and other organizational systems, ensuring information is current, organized, and easily accessible.
  • Ad Hoc Projects: Undertake special projects and assignments as directed by management, demonstrating flexibility and a willingness to contribute to the overall success of the organization.
Qualifications:
  • Bachelor’s degree in Business Administration, Interior Design, or related field preferred.
  • Proven experience in an administrative role, preferably in a design studio, architecture firm, or related industry.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Attention to detail and accuracy in all aspects of work, particularly when handling sensitive information and project documentation.
  • Ability to work both independently and as part of a team, with a positive attitude and a willingness to learn and adapt.
  • Fluency in English; knowledge of additional languages such as Arabic is a plus.
  • UAE residency or valid work permit required.
