Job Summary:

We are seeking a proactive and organized Administrative Assistant to join our team at Vistas Global. The Administrative Assistant will provide essential support to the administrative team, assisting with day-to-day operations and ensuring the smooth functioning of the office. The ideal candidate will have strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Key Responsibilities:

  • Office Management: Manage office operations, including answering phone calls, responding to emails, and handling mail and correspondence.
  • Calendar Management: Coordinate schedules and appointments for the administrative team, arranging meetings, conferences, and travel arrangements as needed.
  • Document Management: Maintain and organize electronic and physical filing systems, ensuring easy retrieval and confidentiality of documents.
  • Meeting Coordination: Assist in preparing meeting agendas, taking meeting minutes, and following up on action items as directed.
  • Data Entry: Input and update information into databases, spreadsheets, and other software applications accurately and efficiently.
  • Correspondence: Draft, proofread, and edit correspondence, reports, and other documents as required.
  • Client Support: Provide support to clients and visitors, addressing inquiries, scheduling appointments, and ensuring a positive experience.
  • Vendor Management: Coordinate with vendors and suppliers to procure office supplies, equipment, and services, ensuring timely delivery and cost-effectiveness.
  • Event Planning: Assist in organizing company events, seminars, and workshops, coordinating logistics and logistics to ensure successful execution.
  • General Administrative Support: Provide general administrative support to the administrative team, including photocopying, scanning, filing, and other ad-hoc tasks as assigned.
  • Education: High school diploma or equivalent qualification is required. Additional certification in office administration or related field is a plus.
  • Experience: Previous experience in an administrative role is preferred.
  • Skills:
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in using Microsoft Office Suite and other office software applications.
  • Attention to detail and accuracy in data entry and document management.
  • Ability to multitask, prioritize tasks, and work efficiently under pressure.
  • Language: Proficiency in English is required; knowledge of Arabic is an advantage.
