Position Overview:

We are seeking a dedicated and compassionate School Secretary Caregiver to join our team at Via Medica International in the UAE. The School Secretary Caregiver will play a dual role, managing administrative tasks while also providing caregiving support to students. Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the school principal, teachers, and healthcare staff, including managing schedules, organizing meetings, and handling correspondence.
  • Front Desk Management: Serve as the first point of contact for students, parents, and visitors, ensuring a welcoming and professional front desk environment. Answer phone calls, respond to inquiries, and direct visitors appropriately.
  • Record Keeping: Maintain accurate and organized records of student attendance, health records, and other important documentation. Ensure that student files are up-to-date and securely stored.
  • Communication: Facilitate effective communication between the school, parents, and healthcare providers, including distributing newsletters, sending email updates, and managing school notices.
  • Caregiving Support: Provide basic caregiving support to students, including administering first aid, assisting with medication administration, and addressing minor health concerns.
  • Event Coordination: Assist in planning and coordinating school events, such as health screenings, parent-teacher conferences, and school assemblies. Manage event logistics, including scheduling, invitations, and set-up.
  • Office Management: Oversee the day-to-day operations of the school office, including ordering supplies, managing office equipment, and ensuring a clean and orderly work environment.
  • Support Services: Provide support for teachers and healthcare staff with administrative tasks, such as photocopying, filing, and data entry. Assist with classroom preparation and resource management.
  • Student Assistance: Assist students with various needs, including scheduling appointments, providing information, and addressing any concerns or issues they may have.
  • Compliance: Ensure compliance with school policies, healthcare protocols, and regulations. Maintain confidentiality of student and staff information at all times.


  • High school diploma or equivalent required; additional education or training in office administration, healthcare, or a related field is preferred.
  • Previous experience in an administrative or caregiving role, preferably in an educational or healthcare setting.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities efficiently.
  • Strong communication and interpersonal skills, with a professional and compassionate demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Attention to detail and accuracy in all aspects of work, particularly in record keeping and data management.
  • Ability to work independently and as part of a team, with a positive attitude and a willingness to support others.
  • Basic first aid and caregiving skills; certification in first aid and CPR is an advantage.
  • Fluency in English; knowledge of additional languages, such as Arabic, is an advantage.
  • UAE residency or valid work permit required.
