Position Overview:

We are seeking an organized and proactive Office Administrator to join our dynamic team in the heart of the UAE. The Office Administrator will play a pivotal role in ensuring the smooth and efficient operation of our office environment, providing crucial administrative support across various functions. Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the management team, including scheduling appointments, managing calendars, and organizing meetings.
  • Office Management: Oversee day-to-day office operations, including managing office supplies, coordinating maintenance and repairs, and ensuring a clean and organized workspace.
  • Front Desk Management: Serve as the primary point of contact for visitors and callers, greeting guests, answering inquiries, and directing calls to the appropriate parties.
  • Travel Coordination: Arrange travel itineraries and accommodations for staff, including flights, hotel bookings, and transportation arrangements.
  • Document Management: Maintain and organize physical and digital filing systems, ensuring documents are accurately labeled and easily accessible.
  • Vendor Management: Liaise with external vendors and suppliers to procure office supplies, equipment, and services as needed.
  • Event Coordination: Assist in planning and coordinating company events, meetings, and conferences, including venue selection, catering arrangements, and logistical support.
  • Assist HR Department: Support the HR department with administrative tasks such as organizing employee records, coordinating interviews, and assisting with onboarding procedures.
  • Finance Support: Assist in basic finance-related tasks such as processing invoices, expense reports, and managing petty cash.
  • Ad Hoc Projects: Undertake ad hoc projects and assignments as directed by management, demonstrating flexibility and willingness to contribute to the overall success of the organization.
  • Bachelor’s degree in Business Administration, Office Management, or related field preferred.
  • Proven experience in an administrative role, preferably in a corporate environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with a professional and friendly demeanor.
  • Attention to detail and accuracy in all aspects of work.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proactive problem-solving skills and ability to work both independently and as part of a team.
  • Fluency in English; knowledge of Arabic is a plus.
  • UAE residency or valid work permit required.
